At the New Brunswick Council meeting of September 26th, 2009, a discussion was held concerning the growing problem with the number of "Prospective" members listed on the Membership Management System (MMS). At the conclusion of the 2008/09 year, there were over 100 "prospective members" listed with the NB Council, with only 499 total volunteers actually registered.

We realize this is fast becoming a serious risk management issue, and the NB Council wants to take a proactive approach to solve this problem.

The New Brunswick Council is asking that the volunteer screening process for new members, be completed in 60 days. The New Brunswick Council also asks that groups ensure all volunteers working with youth are fully screened and "active" on the MMS.

It is very important to remember that "prospective members" cannot work with youth until their screening process is completed! The screening process is a 3-part process, consisting of,

  1. The new volunteer must submit a Police Record Check (PRC)
  2. The volunteer must provide 3 character references, which must be checked & verified by a member of the new volunteers Group Committee
  3. The new volunteer must be interviewed by two (2) registered members of the new volunteer's group committee.
Once the PRC & completed volunteer screening forms are received, along with a signed adult application membership form, the "prospective" new volunteer will be activated on MMS, and is ready to work with the youth.

The NB Council will send out 'prospective" lists to the Area Commissioners periodically, and will attempt to send reminders when the 60 day deadline is approaching. Any members that are prospective over 60 days will be assessed by the Council Commissioner and Council Executive Director, to determine what action or assistance is required.

The New Brunswick Council will also be providing the "Welcome Aboard Interview Guides" to all groups to assist in volunteer screening and interviews. If groups are having problems completing the volunteer screening process, please contact any member of the Area or NB Council Service Team for assistance.
